Responsible for managing, directing, planning and coordinating the administrative and academic activities of our New Rochelle division. This position will develop, implement and monitor processes and procedures aimed at ensuring efficient division operations and high levels of patient and physician satisfaction.
Specific Job Duties:
Supervises, trains and directs other office staff; provides cross coverage as needed
Addresses scheduling and staffing matters to ensure adequate coverage at all times
Mentors, trains and otherwise ensures that all staff members maintain excellent customer service skills at all times; ensures outstanding patient satisfaction at every patient encounter
Mediates employee issues; works with the Human Resource Department to hire, terminate, and/or discipline.
Interacts with physicians and physician leadership to grow the practice and improve the quality of care.
Works with physician leadership to prepare the annual budget; monitors such budget regularly and takes immediate action to address revenue or expense variances.
Coordinates and/or distributes clinical and physician schedules.
Assists with administrative functions as may be necessary (answering phones, scheduling appointments, preparing charts, obtain referrals, typing letters and manuscripts).
Prepares and approves bi-weekly payroll; ensures staff compliance with payroll policies.
Manages all aspects of the division’s revenue cycle (pre-certification, point of service payments, charge submission, etc.).
Ensures a daily reconciliation of billing is completed in a timely manner; conducts a root cause analysis to identify reasons for missed billing and takes appropriate corrective action with his/her superiors and physician leaders to address systemic issues.
Assists physicians with medical and fellowship appointments, calendars and arranging meetings.
Maintains and updates physician certificates and licenses, as necessary.
Maintains the strictest confidentiality of patient information and proprietary business matters.
Performs other duties as may be required, but not necessarily specified here, in order to ensure the smooth functioning of the division at all times.
Job Skills and Experience :
Associates or Bachelor’s Degree in related field preferred
Minimum of 3 years’ experience in a supervisory / leadership capacity in a medical office setting.
NextGen EMR a plus, PC experience, Windows and Microsoft Office applications.
Excellent verbal and written communications skills – ability to communicate effectively with all levels of staff; political and people skills to effectively manage change.
Detail oriented and able to handle multiple tasks efficiently.
Business acumen and insight into process evaluation and change management.
Ability to apply project management skills to meet goals and objectives.
Ability to hold team members accountable for meeting stated goals.
Ability to professionally resolve patient concerns and questions.
Actively participates as a team member by supporting decisions, accepting change, managing conflict effectively and valuing the contribution of others.
Although limited, must be able to travel for occasional meetings or training sessions.
